RFP for Order Management Web Application - Initial Phase 1. Introduction We are seeking proposals from qualified vendors to develop an order management web application. The initial phase of this project will focus on core functionalities like order creation and invoicing, with a simplified user role system (admin and non-admin) and no external integrations. 2. Project Scope 2. Implement a search function to quickly locate orders using various filters such as customer name, order ID, or date range. 3. Allow exporting orders and invoicing data in various formats like CSV, PDF, and Excel for external reporting or bookkeeping needs. 4. Set up email or SMS notifications for important events like order creation, completion, and shipping updates. 5. Maintain a detailed log of changes and actions performed on each order, such as edits, status changes, and notes. 6. Enable bulk processing features to handle multiple orders simultaneously for operations like status updates and invoicing. 7. Include a section for managing customer profiles that stores order history, contact information, and preferences. 8. Implement a more flexible role management system allowing customization of permissions beyond just admin and non-admin. 9. Allow the addition of custom fields to orders to capture special information required by business operations. The web application should include the following features: Order Management: Create new orders with customer details, product information, pricing, and shipping information. View and edit existing orders. Generate invoices for orders. Track order status (e.g., pending, shipped, completed). User Management: Create and manage user accounts with admin and non-admin roles. Admin users should have full access to all features. Non-admin users may have restricted access based on their roles. Security: Securely store and manage sensitive data like customer information and pricing. Implement appropriate authentication and authorization mechanisms. 3. Technical Requirements The web application should be accessible through a web browser on desktop. The application should be built using modern web technologies (e.g., HTML5, CSS3 using Tailwind CSS, JavaScript using StimulusJS). We prefer the use of a framework (Laravel) to build out the models and controllers. The data will be stored in a PostgreSQL database. The vendor should provide clear documentation for the application's architecture, codebase, and deployment process. The vendor should ensure that the application is deployable on Heroku. 4. Evaluation Criteria Proposals will be evaluated based on the following criteria: Vendor experience: Proven track record of developing and deploying web applications. Technical expertise: Demonstrated knowledge of relevant web technologies and security best practices. Proposed solution: Clarity and completeness of the proposed solution, including technical design and implementation plan. Cost: Competitiveness of the pricing and value for money. Timeline: Ability to deliver the project within the agreed-upon timeframe. Attached are the PDF designs and workflow, showing the automation and functionality needed. Also attached is the Excel file, which explains the necessity of the entire project.
