I am looking for an expert in Asana setup to assist my branding, creative and digital agency with project tracking primarily for our client projects. The ideal candidate should have extensive experience with Asana, and be able to configure it to suit our needs. The goal is to ensure the entire business is organised, with team members fully utilising the system to improve efficiency across client projects, internal operations, and overall business performance. We need a system that will: Project & Task Management: Help us manage client projects, track deadlines, monitor budgets, and provide a clear view of project health (on track, at risk, etc.). Internal Operations: Cover admin, sales, recruitment, finance, marketing, and SOPs, offering a high-level overview to support strategic planning and resource allocation. Collaboration & Efficiency: Improve team communication, streamline task management, and set up templates for recurring services to enhance consistency and speed. Freelancer & Contractor Management: Enable efficient onboarding, task assignment, and time tracking to ensure accurate reporting and accountability. I'm also seeking guidance on the best way to structure client work in Asana. The absence of traditional folders has made it challenging to distinguish between multiple client projects—especially when we provide various services for the same client. I've explored two potential structures: 1. Using Teams as "Folders" A Team for each client, with individual projects for specific services (e.g., branding, web design and development, graphic design - marketing materials (print and digital etc) Example: Team: Client A Project: Website Project: Social Media Team: Client B Project: Branding Project: SEO 2. Using Portfolios for High-Level Organisation Grouping projects under portfolios by client or service type for a comprehensive overview of statuses, timelines, and priorities . I’d love someone to know what is best or if there are other alternatives (such as having all tasks for each service under relevant sections in the one project per client) and put together the most effective approach to structuring our client work, balancing detailed project management with a high-level agency overview. Additionally, I want to ensure we’re leveraging Asana’s features for reporting, automation, resource planning, and growth scalability. Essential Skills & Experience: ✅ Asana Expertise – Deep understanding of Asana’s features, including project setup, task management, automations, reporting, and integrations. ✅ Project Management Knowledge – Familiarity with project management principles, workflows, and best practices, ideally within creative or digital agencies. ✅ Process Optimisation & Workflow Automation – Ability to streamline processes, automate repetitive tasks, and improve efficiency. ✅ Client Project Tracking & Task Management – Experience setting up project tracking systems for agencies that manage multiple clients and services. ✅ Time & Budget Tracking – Knowledge of tracking project costs, time spent on tasks, and overall budget management within Asana or via integrations. ✅ Team Training & Adoption – Ability to onboard and train team members to ensure proper usage and adoption of Asana. ✅ Collaboration & Communication – Strong ability to gather requirements, translate them into a structured system, and communicate effectively with stakeholders. ✅ Data Analysis & Reporting – Experience using Asana’s reporting tools to provide insights into project health, profitability, and forecasting. ✅ Freelancer & Contractor Management – Setting up systems for tracking freelancer/contractor work, task assignments, and time logging. ✅ Tool Integrations – Familiarity with integrating Asana with other tools like Slack, Google Drive, Harvest, Zapier, or financial tracking tools. Preferred Experience: - Experience working with branding, marketing, or creative agencies. - Background in operations, business consulting, or project management. - Prior experience setting up Asana for teams of similar size and structure. - Knowledge of alternative project management tools (ClickUp, [login to view URL], Notion) for comparative insights. Key Features: - Timeline view: We need to visualise project timelines effectively. - Progress reporting: Essential for keeping tabs on project status. - File attachments: Important for managing project-related documents. - Budget Tracking: We need to keep an eye on our project costs. - Time Tracking: Crucial for monitoring time spent on each project. - Forecasting: Ability to predict project outcomes based on current data. - Profit Analysis: Evaluating the profitability of each client project. Skills and Experience: - In-depth knowledge and experience with Asana - Prior experience working with creative agencies is a plus - Excellent understanding of project management principles - Ability to tailor Asana features to specific project needs - Strong communication skills for effective collaboration.
